GOAL: To provide accurate, timely, and confidential administrative, personal, and business support to the President by efficiently managing schedules, communications, records, and financial processes, thereby maximizing the President's productivity and ensuring the smooth operation of both professional and personal responsibilities.
MAIN ACCOUNTABILITIES:
- Audit internal and external time sheets, work orders, and invoices.
- Manage President’s email
- Manage President’s work and personal Calender
- Manage President’s Google Drive
DUTIES:
- Office Support
- Receive photos of receipts from internal staff and log in to the credit card website and audit transactions. Confirm with the field manager.
- Compile our internal team’s timesheets from the time clock weekly and request approval from the field manager, forward to payroll. Work with the team directly to correct any incorrect timesheets.
- Compile timesheets from work orders sent from our sub contractors weekly and request approval from the field manager, forward to accounts payable when approved.
- Personal Support
- Manage and maintain a shared family calendar, including scheduling doctor appointments, school events, family activities, and travel plans
- Submit applications and forms for school, extracurricular activities, and personal services
- Coordinate with vendors and contractors for home maintenance, repairs, and improvements
- Research and book personal services such as dining reservations, childcare, vacations, and local events
- Assist with errands including gift purchases, returns, and online orders
- Maintain documentation and records for household-related matters
- Business Support
- Schedule business meetings, calls, and appointments; manage calendars and reminders
- Prepare, complete, and submit business forms, applications, and reports
- Follow up with vendors, contractors, and business partners to ensure timely communication and task completion
- Assist with email and communication management as needed
- Handle light research, data entry, and organizational tasks to support business operations
- Maintain confidentiality of sensitive business and personal matters
QUALIFICATIONS:
- Google Workspace experience preferred (Gmail, Drive, Docs, Sheets, Voice, etc)
- Windows 11 experience preferred
- Reliable power and internet/backup batteries and internet required.
- Excellent organizational and time management skills
- Tech proficient with tools like Google Calendar, Microsoft Office, task/project management software (e.g. Trello, Asana), and cloud storage systems
- Ability to prioritize and multitask in a fast-paced environment
- Proven experience as a personal assistant, executive assistant, or administrative professional
